Developing a bespoke reporting suite brimming with features

Challenge

Tesco came to us to help them digitise their maintenance team training records. With different training providers for a wide range of maintenance equipment and skills, the team had to access multiple systems to pull their employee training completion data. This meant lots of spreadsheets to analyse, all inconsistent in their formats, which made analysis incredibly difficult and insights limited.

Solution

The brief was to make reporting and reviewing training progress a simple and more automated process. We needed to bring together the training data for individuals into one central system and replace the need for multiple excel documents. We also needed to create a tool that made reporting easier, insights easier to identify, and bonus payments (which were dependent on training completion) easier to track. 

Outcome

We developed a centralised reporting suite which pulled training data for individuals from multiple systems.  Using API integrations or simple upload features, we consolidated the data into a universal format which was fed into a data visualisation tool.  The Tesco team now has full visibility of employees’ progress against training milestones, certifications and achievement from all sources and can use this data to plan future initiatives. 

Initial discovery and scoping

 

As with all our projects, when Tesco came to us asking for our help to centralise their spreadsheets, we looked past the initial idea. We ran a discovery session to understand exactly what the scope of the project was and to uncover other potential functions which might be useful and add value to the team. This session led to the full scope of the training dashboard they have today.

Flexible Data Integration Options

API integrations were built in to automate data flow between the training systems and the reporting dashboard. Where APIs were not available, we developed a manual upload feature to update the database without needing to be reformatted and immediately update the data in the reporting dashboard. Where training is provided on an adhoc basis, we built in a function for data to be manually added directly into the system. 

Visualisation of data

Visualisation of the data was so important to the success of this project. For example, being able to identify areas where extra training is required, where employees aren’t completing essential training, and where bonus payments need to be paid.  

SSO protection

Access to the portal itself is controlled through the Tesco SSO (single sign on). This is an essential security requirement and helps manage the integrity of the system and the data within it.

Individual user dashboard

This gives an individual user the chance to log into the system and see a dashboard with a summary of where they are up to with their training.
